This guide explains what a team member can do in SocialBu after joining a team, how permissions affect their access, and how posting and approval workflows work inside a team.

Team members do not automatically get access to everything in the account. Their access depends on the social accounts added to the team and the permissions assigned by the team owner or team admin.

Before you join a team

  • You need a SocialBu account to join a team.
  • You can be invited by email.
  • If you do not already have a SocialBu account, SocialBu can create one for you during the invitation flow.
  • Your access starts after you accept the team invitation.
  • Team and member limits depend on the team owner's SocialBu plan.

Accepting a team invitation

When someone invites you to a team, you may receive an email invitation and a pending invite inside the Teams section of your SocialBu dashboard.

To join the team:

  • Open SocialBu and go to Teams.
  • Look for Pending Invites.
  • Click Accept to join the team.
  • If you do not want to join, click Decline.

If you do not see the email, check your spam or promotions folder. You can also check the Teams section inside SocialBu.

What you can access after joining

After accepting the invite, you can access the team resources shared with you. This can include selected social accounts, posts, queues, inbox conversations, automations, analytics, saved snippets, listening streams, and Curate sources, depending on your permissions.

You can only work with social accounts that were added to that team. If an account was not added to the team, it will not be available to you as a team member.

How team permissions work

Each team member can have different permissions. If you cannot see or use a feature, it usually means that permission is not enabled for you or your team invite has not been accepted yet.

Common team permissions include:

  • Manage team settings: Allows managing team settings, members, accounts, and permissions.
  • Create and schedule posts: Allows creating posts using team social accounts.
  • View team posts: Allows viewing team posts beyond only your own work.
  • Edit team posts: Allows editing team posts.
  • View draft posts: Allows viewing team drafts.
  • Approve posts: Allows reviewing and approving posts when approval is required.
  • Create queues: Allows creating queues for team accounts.
  • Manage queues: Allows editing team queues.
  • Add posts to queues: Allows adding posts to team queues.
  • View AI-generated content: Allows viewing generated content connected with the team.
  • Create AI-generated content: Allows generating AI content for the team.
  • View analytics: Allows viewing analytics for team accounts.
  • Create automations: Allows creating automations for team workflows.
  • Manage automations: Allows editing team automations.
  • Manage inbox conversations: Allows working with conversations in the team inbox.
  • Change inbox settings: Allows changing inbox configuration.
  • View saved snippets: Allows viewing saved snippets available to the team.
  • Create and edit saved snippets: Allows creating and managing snippets.
  • View social listening streams: Allows viewing listening streams shared with the team.
  • Create and manage social listening streams: Allows creating and managing listening streams.
  • Add and manage Curate sources: Allows managing Curate sources for the team.

Posting as a team member

When you create a post as a team member, make sure you are using the correct team and the correct team social account.

Your posting access depends on your permissions:

  • You need Create and schedule posts permission to create posts for team accounts.
  • You can only post to social accounts that are part of the team.
  • If you save a post as a draft, it stays as a draft and is not sent for approval.
  • If the team does not require approval, a permitted member can schedule or publish posts according to the normal posting flow.
  • If the team requires approval and you do not have Approve posts permission, your post is sent for approval instead of being scheduled or published directly.
  • If the team requires approval and you do have Approve posts permission, your own post can be scheduled or published without waiting for approval.

Awaiting approval workflow

If approval is enabled for the team, posts created by members without approval permission move to the approval workflow.

  • The post is created for the selected team account.
  • SocialBu shows that the post was sent for approval.
  • A team member with Approve posts permission can review it.
  • If approved, the post can continue through the scheduled or publishing workflow.
  • If rejected, the post moves back to drafts with review details so it can be corrected and submitted again.

Working with team queues

Queues let teams publish content on preset schedules. Your queue access depends on the permissions assigned to you.

  • Create queues lets you create new team queues.
  • Manage queues lets you edit existing team queues.
  • Add posts to queues lets you add team posts to queues.

If you cannot create, edit, or add posts to a queue, ask a team admin to review your queue permissions.

Working with team inbox

If team inbox access is enabled for you, you can help manage conversations connected to team accounts.

  • Manage inbox conversations controls whether you can work with inbox conversations.
  • Change inbox settings controls whether you can adjust inbox configuration.

If you can see conversations but cannot perform an expected action, your inbox permissions may need to be updated.

Working with other team features

Depending on your role, you may also be able to work with:

  • Analytics: View performance data for team accounts if you have analytics permission.
  • Automations: Create or manage automations if automation permissions are enabled.
  • AI-generated content: View or create generated content based on your permissions.
  • Saved snippets: View, create, or edit reusable snippets for the team.
  • Social listening: View or manage listening streams.
  • Curate: Add and manage Curate sources.

What team members cannot do by default

Joining a team does not give you full access to the team owner's SocialBu account.

By default, team members cannot:

  • Access social accounts that were not added to the team.
  • Access billing, subscription, or private account settings of the team owner.
  • Manage team settings unless they have Manage team settings permission.
  • Approve posts unless they have Approve posts permission.
  • Use team features that are not included in their permissions.

Leaving a team

If you no longer need access to a team, you can leave the team from the Teams section. After leaving, you will lose access to the team resources and social accounts shared through that team.

Troubleshooting

I accepted the invite but cannot see team accounts.

Confirm that you are viewing the correct team and that the social accounts were added to that team.

I cannot create posts for a team account.

You may not have Create and schedule posts permission, or the account may not be part of the team.

My post was sent for approval instead of being scheduled.

The team likely requires approval before publishing, and you do not have Approve posts permission.

I cannot see another member's posts or drafts.

You may need View team posts or View draft posts permission.

I cannot edit a post, queue, automation, inbox setting, snippet, listening stream, or Curate source.

Your permissions may not include the required edit or manage access for that feature.

I do not see the team invitation email.

Check spam and promotions folders, then check Teams in your SocialBu dashboard for pending invites.
